We are looking for a full time, detail-oriented individual with a minimum of two years experience as an Executive Assistant.

As their primary role, the successful applicant will be responsible for helping our President by accompanying him to internal Sherpa and external prospect/client meetings and taking notes.

In addition, as an EA, you will:

  • Coordinate executive communications, including taking calls, responding to emails, texts and interfacing with clients
  • Prepare internal and external corporate documents for team members and industry partners
  • Manage the President’s expenses
  • Schedule meetings, appointments and manage travel itineraries
  • Help arrange corporate events
  • Maintain an organized filing system of paper and electronic documents
  • Uphold a strict level of confidentiality
  • Be the eyes and ears of the President when he is off site

The successful applicant will also be helping back-fill our accounts payable/receivable tasks as well as generating reports in a timely manner. It will require good judgement, confidentiality, and adherence to company policies and procedures.

The applicant should display a positive and proactive attitude, strong organizational skills and the ability to prioritize work.

Responsibilities include but are not limited to the following:

  • Light clerical duties: shipping packages, and meeting preparation work, etc.
  • Other duties as required, placing meal orders, running errands for the president, updating internal systems, proofing, etc.
  • On rare occasions, travel may be required.
  • Record vendor bills and credit card transactions
  • Responding to vendor inquiries
  • Ensuring that payments are made in accordance with company policy and on time
  • Resolving payment discrepancies and disputes on behalf of the company
  • Reconcile credit card and GL accounts
  • Create and maintain reconciliations in a spreadsheet
  • Preparing and mailing invoices to customers
  • Posting payments to customer accounts
  • Record bank deposits in the accounting system
  • Follow up with accounts receivables

Experience and skills

  • Intermediate Microsoft Office proficiency
  • Experience with QuickBooks Accounting is a must
  • Ability to meet strict deadlines and function under pressure
  • Ability to multitask and excellent organizational skills
  • Must present themselves in a professional manner, in both attire and written/oral communications
