Accounting Clerk & Office Administrator

We are looking for a full time, detail-oriented individual with a minimum of two years Account Receivable and Payable experience. The successful applicant will be responsible helping with accounts payable and receivable tasks as well as generating reports in a timely manner. It will require good judgement, confidentiality, and adherence to company policies and procedures. The applicant should display a positive and proactive attitude, strong organizational skills and the ability to prioritize work. Must be a strong communicator using written and oral communication as the candidate will frequently deal with customers, vendors, colleagues and management.

Responsibilities include but are not limited to the following:

  • Record vendor bills and credit card transactions
  • Responding to vendor inquiries
  • Ensuring that all payments are made in accordance with company policy
  • Ensuring that all payments are sent on time
  • Resolving payment discrepancies and disputes on behalf of the company
  • Reconcile credit card and GL accounts
  • Create and maintain reconciliations in a Spreadsheet
  • Preparing and mailing invoices to customers
  • Posting payments to customer accounts
  • Record bank deposits in the accounting system
  • Follow up with accounts receivables
  • Help with month-end process
  • Light reception duties: greeting guests, shipping packages, and kitchen duties etc.
  • Other duties as required, placing office supply orders etc.

Experience and skills

  • Intermediate Microsoft Excel proficiency
  • Experience with QuickBooks Accounting is a must
  • Ability to meet strict deadlines and function under pressure
  • Ability to multitask and excellent organizational skills
